ONE OF Australia and New Zealand’s biggest fashion retailers, DECJUBA has skyrocketed from five stores to over 140 stores across both countries. It was relaunched in 2008 by Tania Austin, whose vision was “to make everyone look and feel amazing” – and 15 years on, this approach still informs every decision that DECJUBA makes today.
However, every business leader knows that growth never comes without its challenges. DECJUBA quickly saw the pitfalls of its multiple disconnected HR systems, ad hoc recruitment processes, onboarding programs and manually maintained Excel spreadsheets.
This reliance on outdated, labour-intensive manual processes also had a major impact on efficiency. For example, onboarding team members required the completion of five separate pieces of paperwork, while creating a job requisition was a convoluted task that could take a day to complete.
KALTech Group is a technology company established in 2003 that specialises in SAP SuccessFactors and SAP functionality. KALTech partnered with DECJUBA to successfully implement SAP SuccessFactors in 2023, demonstrating expertise in the technology as well as an agile understanding of modern HR issues and how to solve them. KALTech will continue to support DECJUBA as the company enters its second implementation phase.

From the beginning, DECJUBA knew it needed a robust HR system that could handle its growth trajectory. It also needed to solve its inefficient manual processes and provide user-friendly access to important team member data.
SAP SuccessFactors was selected for its capability to handle DECJUBA’s complexity as a retailer and for the flexibility of its modules, which could adapt and expand with the company’s future needs.

Another key reason for DECJUBA choosing SAP SuccessFactors was its implementation partner KALTech Group, who are experts in SAP technology and were able to customise modules where required to suit both DECJUBA’s existing processes and its future needs.
DECJUBA and KALTech took a collaborative approach to the implementation, with KALTech becoming part of the DECJUBA team throughout the process. Sixteen weeks later, the result was DECJUBA’s new D:LIFE system – a system that combines modules for team members, as well as for recruiting and onboarding.
However, simply implementing a new system wasn’t enough. D:LIFE became part of a larger system revision and cultural change at DECJUBA, designed to help incorporate its evolving product lines and sustainability initiatives. Communication throughout the process was key, with DECJUBA relaying changes to team members and why they were happening at each stage of the process.
“We’ve seen various improvements, including increased time efficiency, a reduction in paper usage and labour-intensive processes, as well as gained accurate and live data, which is a game changer,” Poulos says.

The implementation of SAP SuccessFactors hasn’t just brought benefits to DECJUBA’s HR team. It’s created a more consistent and rewarding experience for everyone, including frontline team members.
Store managers and other leaders have been empowered to take recruitment and administration into their own hands, and improvements in data access and integrity have positively impacted the company’s deskless workers. The mobile app is now in use for a range of tasks across the business, including approving job requests and recruitment changes.
The mobile app allows store managers to recruit and onboard new team members in real time in the shop. This is particularly useful for seasonal recruitment, where the company sees an intake of approximately 500 casual team members each year. The digitalisation of the recruitment process has also benefited new team members, who now enjoy a more streamlined onboarding experience and introduction to the company.
HR tasks have become significantly more time-efficient with the ability to pre-populate data, which allows leaders to create reports and organisational charts quickly. Job requisitions that previously took hours to complete now only take three minutes, with 90% of the data already prefilled.
Choosing SAP SuccessFactors has also worked wonders for DECJUBA’s sustainability goals. The HR department is now paperless: all previously printed forms and contracts are now stored digitally in the D:LIFE system. The onboarding process also no longer uses physical paperwork, with important team member data such as tax, banking, superannuation and personal information completed using the mobile app.
